How to configure Create Documents for Assets

The create document functionality allows users to download asset information through pre-configured layouts with a template. To configure this functionality, please follow the below step-by-step guidelines divided into three sections A, B and C:

Create or update a layout for Asset

Go to Administration  Branding  Layout

Add a new layout or update an existing one

Configure all the required details such as name, type, sub-type, layout format, output format, output file name, access level etc

Make sure you’ve selected Asset for Type and Create document for Sub-type respectively.

Save the details and go to the next section (B) to assign this layout to template.Note – Please use the appropriate tags in the layout to print the relevant details for assets. (e.g. Logo : {%logo}, Content : {_content})

Assign the layout to template

Go to Administration  General  Templates

On the templates page, click on Document template.

Enter name of the template and select pre-configured layout created for Asset. You can use below dynamic fields in the content box along with template content to fetch the asset details.

#ASSET_CATEGORY#,

#ASSET_SUB_CATEGORY#,

#ASSET_FURTHER_CATEGORY#,

#ASSET_CUSTOMER_NAME#,

#ASSET_CUSTOMER_EMAIL# etc. 

Save the details and go to the next section (C) to save or download the asset details through pre-configured template.

Create document for assets:

Go to Assets module, edit any existing asset and click on ‘Create’ on the right sidebar menu and then on ‘Document’.

Select the pre-configured template, the layout will automatically be added. The asset document can then be saved or downloaded.

If you save the document, it will show under the Attachment region as an Others folder. You can also download or delete the asset document. 

If you download the document, it will be downloaded in the pre-configured output file format as per the layout configuration.
