How do I create and manage Interim or temporary addresses?

The My Council Services platform uses the AddressBase Premium (ABP) database for address information. Updates to the ABP database are uploaded approximately every six weeks.


For instances where an address is not found in the ABP dataset within MCS, interim/temporary addresses can be configured within the system. This is a separate address list from ABP addresses, but are still selectable within the system.


 


What steps do I need to take to create an interim/temporary address?


Go into Community > Temporary >  Add 


The following screen will appear. Enter as many details as possible. Please ensure that the information entered here matches with your GIS/LLPG address data.

  Note


The only mandatory fields for interim addresses are Authority, Country, Region, and UPRN.


 


Scroll further down the page for more options. As a minimum, ensure that the UPRN is entered correctly. This is restricted to 12 numbers.



 At the bottom of the page, you will be able to configure validations for this temporary address, and finalise the process by fetching the Lat/Lon co-ordinates using the details you have provided.


 


Once all necessary information is provided, scroll up and click  Add address 



  Note


Once added, the system will check to see if the UPRN used for the interim address is already being used elsewhere in the system. If will then check all address lines and if they do not match exactly, the interim address will remain in the system until the UPRN is included in a future ABP dataset with the exact address lines. If the UPRN is already in use with the exact address lines, the interim address will be disabled and can no longer be viewed. Please ensure that your GIS/LLPG information being sent to the NLPG is kept up-to-date.


IMPORTANT:  Please see below 


Matching process of temporary address records and addresses from the GeoPlace ABP dataset, the temporary address will only be matched if the following conditions are met: 


1. Exact match on UPRN.

2. Logical_Status = 1 on both records.

3. Exact matches on text on all of the fields below

ORGANISATION NAME
SUB BUILDING NAME
BUILDING NAME
BUILDING NUMBER
LOCALITY
POSTCODE
TOWN


 


Managing interim/temporary addresses


When you go into Community > Temporary you will be able to see all interim addresses added from your organisation. From here, you can edit a record by clicking the  button.


The  Action  button also provides a "Find the match and update data" option to manually perform the address matching process, if needed.
