FOI module

 

This guide details the required steps for configuring rules for use in the Freedom of Information module. The rules can be triggered at different stages of the lifecycle of a FOI request and the set-up steps are the same as in other areas of the system when rules are configured.

 

This guide assumes that the user already has knowledge for the MCS rules functionality and that the Information module has already been configured.


Initial configuration

 

Rules module

 

Before a rule can be created, a process needs to be created from within the rule’s module. A preexisting process can be used. This process should then be used on rules created for the FOI module.

The process used should then be added to the FOI templates under Administration > (Freedom of information) Templates > required template.

Rules

 

Creating rules

 

Rules are created in the same way as for any other service area, however there are new rule options available for use with the Information module. These are:

 

  • Information – added
  • Information – note added
  • Information – outcome added
  • Information – owner updated
  • Information – status updated

 

For example, the ‘information – added’ rule will be triggered by an information request being created, regardless of whether that is done through the information module or using the information request plugin on a form.

 

Rules will not run if the process selected against the rule does not match the process added against the template, as detailed in the above section.

 

‘Template’ is available as an additional condition available for the information rules, this will allow you to specify which information request types a rule should run against. For example, you may require different actions when an FOI request is submitted, to when a subject access request is submitted.
