How do I add a schedule to a booking item?

All booking items require a schedule in order to function properly. Without a schedule, customers will not be able to select a booking item when arranging a booking.


 


What steps do I need to follow to add a schedule to a bookable item?


1. Go to Administration > Bookings and Appointments > Items. From here, you can view and edit existing bookable items. You can search for particular booking items, and use the filter button next to the search box to locate specific types of booking items.


2. Locate the relevant bookable item, and click on the "edit" button to configure it.


 


3. The following page will appear. Click on Add >  Schedule  on the right side of the screen.


 


4. You will be taken to the following page. In order to fully configure a schedule, you will need to configure a template. Click on Add >  Template  on the right side of the screen.


 


5. Now, a  pop-up box will appear on the screen, where you can configure the template for this schedule. Give the template a Name, select the From and To Dates, and specify the Duration of each booking. You can also specify if this booking will involve seats (e.g. for a concert), and what number these particular seats should start from.


6. Click on  Add  to finish.




  Note


Once a template has been added, you will not be able to amend it. If you want to make changes, you will need to delete the existing template, and re-create it with the correct information.



 


7. You will be taken back to initial schedule page, where the template will have been added automatically. Proceed by clicking on Add >  Schedule  on the right side of the screen.



 


8. The following pop-up box will appear on the screen, where you can configure the schedule for this booking item. Provide a Title, and select the Type this schedule will apply to (Whole, Section, or Sub-Section). Configure the pricing details, the relevant Day, and the Start and End times. You can also configure a parent schedule, which membership is applicable, a description, fund codes, references, etc.


9. Click on  Create  to finish.




  Note


Multiple schedules can be added to a booking item. You can edit a schedule, but you cannot change the Day, Start, or End times. Please be aware that if any customer has booked an item using this schedule, it will not be possible to delete the schedule.

 


10. The page will refresh, and the schedules you have added will appear at the bottom of the page. These schedules will be selectable when customers are applying for a booking.
