How do I create an events booking item?

The platform provides organisations with the ability to create and configure booking items on their system, via the bookings module. There are several types of booking items that can be added to your system.


This article details the process needed to create events booking items. These refer to individual event or season booking items that customers can select for their bookings.


 


What steps do I need to follow to create an events booking item?


1. Go to Administration -> Bookings and Appointments -> Items. From here, you can view and edit existing bookable items. You can search for particular booking items, and use the filter button next to the search box to locate specific types of booking items.


2. Click on  Add  to start creating a new bookable item.



 


3. The following pop-up box will appear on the screen, where you can begin to configure the booking item. Give it a Name, and select "Event" as the Type, so that the system will recognise this as a bookable event item. You will need to apply an appropriate booking transition (please refer to this article for instructions on how to create a booking transition). You also have the option of including what event this booking item applies to, and can add a new event on the system from here as well.


4. Click on  Add  to finish, or click on  Continue  to further configure the bookable event item.



5. By clicking on  Continue  you will be taken to the bookable event item page, where you will see the following. There are several configurable options available.



 



  • Allow cancellation - Select "Yes" to allow customers to cancel their booking. You will need to configure the cut-off point for booking cancellations, in minutes/hours/days/months/etc.

  • Advance booking start and end - This allows you to configure how many minutes/hours/days/months/etc in advance this bookable event item will be available to customers.

  • Allow seat selection - If this bookable event item involves seats (e.g. for a concert), select "Yes" to allow customers to be able to choose a seat.

  • Allow waiting list - You can decide if this bookable event item should have a waiting list, so that customers can book this item for a later date. As such, this item will always be selectable, but the system will provide customers with the earliest date of availability.

  • Is parent - If this booking event item is the "parent" of additional "child" items, select "Yes" so that the system takes this into consideration. If this item is a child item, you can select the parent item from a pre-determined list, if configured.

 


6. On the right side of the screen, you will have access to a large number of options to add further information for this bookable event item.

It is mandatory to configure a Schedule for any type of booking item. For instructions on how to configure this, along with several other options, please refer to the relevant documentation below.
