How to alert users when sharing knowledge articles with customers

Users will receive an alert when trying to send an article that does not have the appropriate access role.

 

Go to Contact-> Search for any user under People

  1. Navigate to Knowledge search at the bottom-right corner under Search region
  2. Search for any article and it opens the pop box as shown in the screenshot


         3. Click on Email to share this article with the selected customer.

         4. Based upon the user and customer access to the knowledge article there will be a warning pop-up box in the                 following circumstances:

 

  1. User – For users, the email will be sent if the access allows
  2. Customer – If the access does not include customers then the system will warn the user to confirm if they want to send the email because the access role for the article is user only 
  3. Anonymous – email button will be automatically disabled for the anonymous users



      5. To send the article select ‘OK’ to continue or ‘Cancel’ to cancel sending the email.
