This article focuses on the administrator creating the contract through the contracts module. A contract can also be created when submitting a form, where a contract plugin is used as an item.
Accessing the contracts workbench
1. From the left-hand menu click on the 'Contracts' link.
2. Then click the [Add] button. This will display a pop up where you can start completing the initial details of what type of contract you creating.
3. You will need to select your template first, which will then, in turn, show the options beneath.
There are many options presented here, and each is controlled via the contract template.
- Item and quantity
- The contract will show different durations and what the parties are signing up to. Each item will have different configuration options. The quantity is how many of these items the customer is signing up to. As an example, if the customer is signing up for a 9-month contract to collect their green garden waste, and they would like two bins, the quantity would be 2. The cost of any contract would be the item x the quantity e.g 9-month agreement £50 x 2 bins equals £100 in total.
- Override date
- The item will define what the duration is. By clicking the override checkbox you can change the dates. you may want to override this date, to allow for any business decisions that are not standard with the template.
- Customer role
- Each customer that you add to a contract will perform a role. These roles can be configured in the settings. The role should reflect the actions this party will perform during the contractual period.
- Parties
- A party is any person, organization, address or asset that will be referenced through the contract. Depending on the contract template, will depend on what parties are applicable to be shown on this screen. For each checkbox displayed, by checking this, it will display another field where you can search for the party.
4. Then click the [Add contract] button, the full contract detail will then be shown and you can continue populating the rest of the information.
