This guide is intended for council staff who are required to send notifications in bulky to the submitters of existing service requests. Admins can use email templates to send these notifications.

 

About this functionality

 

The send notifications feature in the Service module allows users to efficiently send notifications for multiple service requests at once. Instead of sending updates individually, users can now filter, select, and notify multiple service request submitters in a single place..

Key capabilities

  • Filter service requests: Use advanced filters (such as status, period, etc.) to narrow down the list of service requests.
  • Select multiple requests: Choose one or more service requests from the filtered list.
  • Send notifications in bulk: Trigger notifications to relevant parties for all selected service requests simultaneously.
  • Update status: Update the status of the service requests after the notifications are sent.

 

How to use the functionality

 

To access the send notification functionality, navigate to Service > Options > Send Notification. From here the user should select the relevant catalogue, form, status, and period, and then click search to return the results meeting their criteria.

The service requests that the user wishes to send the notification to the owner of should then be selected. Using the check box in the first row will select all submissions.

The email can then be drafted in the following section using either free text or an email template previously configured. Boxes can also be ticked to attach the content of the relevant request to the email and record the email in the history against the request.

 

Setting ‘update status after notification’ to ‘yes’ will result in the status of the request being automatically updated to a defined new status once the email has sent. This will show available statuses from the relevant service request transition.
