How to configure system email templates

The MCS system provides organisations with the ability to configure Email Templates for various emails that are sent out from their system.


This allows you to personalise emails in accordance with your organisation's requirements.


 


What steps do I need to follow to configure Email Templates


Go into Administration > Mail > Templates



 


The following screen will appear. There are several parameters you can configure.



 




 From  


This is the default email address you will be sending emails from. It's usually [noreply@organisation.gov.uk] or something similar.

Reply To

This is the default email address which the customer or user can reply to


CC

Any email addresses added here will also receive all emails sent from the "From" address.








Logo

This allows you to insert your organisation logo into emails. Upload it via the Image Store, and then paste the image URL here.



Logo Height  


This allows you to adjusts the height of the logo in emails.







Greeting Text

This text will appear after "Hello USER_FIRST_NAME" at the start of the email.






  Header

This text will appear at the top of the email.






 Greeting Text (Admin)

Same as above, but only applies if the email is sent to an Admin User.




Report Footer

This text will appear below the report information, if the email sent out is regarding Service Request report information.








    Report Footer (Plain Text)  


Same as above, but the Plain Text equivalent.






 Signature

This will be the text used to sign off the email.




  Signature (Plain Text)

Same as above, but the Plain Text equivalent.








Footer

This text will appear at the bottom of the email.





Footer (Plain Text)

Same as above, but the Plain Text equivalent.







 Link 1 Title

Related to the footer. Will appear as the leftmost link.





   Link 1 URL

Related to the footer. Will be the URL of the leftmost link.




  Link 2 Title

Related to the footer. Will appear as the central link.




  Link 2 URL

Related to the footer. Will be the URL of the central link.




  Link 3 Title

Related to the footer. Will appear as the rightmost link.




Link 1 URL

Related to the footer. Will be the URL of the rightmost link.








  Support Email

The email used for support issues.







Reply Text
If you would like to add reply text in the email



 No Reply Email

Your noreply email address.







Website

Your website URL.




Contact Us Mail

Your email address for general contact and inquiries.







 App Name

The name of your mobile app, if applicable.





 Customer Portal URL

The URL of your MCS Customer Portal instance.






 Admin Portal URL

The URL of your MCS Admin Portal instance.








  Subject Header

The subject of the email. Dynamic Fields can be used here to pull through certain types of information.





 


At the top of the page, you can click the [Preview] button to see how your emails will look when they are sent out.
