2. Email Communications

We provide the ability to send emails from the system on behalf of your designated domain.

By default, your system will use the [noreply@mycouncilservices.com] address for sending emails from the system.

 You are able to change this address to something more specific to your organisation (e.g. noreply@organisation.gov.uk).

The following will need to be enabled within your organisation’s DNS records to allow the MCS Platform to send on behalf of your chosen email :

1. Include our domain in your SPF record ... "include:mycouncilservices.com"

2. For DKIM, add a TXT record with "itouchvision" as the DKIM selector, and use the following public key value (triple-click on the text below to select all of it, then use right-click or CTRL-C to copy):

  • k=rsa; p=MIIBIjANBgkqhkiG9w0BAQEFAAOCAQ8AMIIBCgKCAQEAvd8gSuuAgwjVmHJ28RMZqjvSR+TsG0eY2Hfg3jFIvi0BGof2jRl9VB522/NNHGzb1BIHVAR7UfyrUvqxe3nkiuwarE0QnYC1bjORH/BNHP2IxaqKbu0o+aTRmdJH5JpxiSnBzq5Lhi/El1zjJo7rGSKTby56ddqs1mzvzImdQhOAnlznM8dx89VdzNEYinq5aslEKq0Tx/cgPxqZBSobMXiGou2+ETFBXZDfojuWcuuId1Rnel2XrN9Ei0A/k9BmGfX/iE2eNRjcDPo7naqvSdZYISVT53ImhBlwCLSSlUFQumopHI0hg2XTWrBrfKF9p1h3pZzmefvXW0LTkdfb5QIDAQAB;

 Note

 Any changes to your SPF and DKIM settings will apply to your Live/Production server, and your Demo system if applicable.

Once you have configured these settings, go into Administration > Mail > Templates and change the "From" address to the email address you have prepared. It's recommended that you send some test emails to make sure the settings have been configured correctly.

Emails from:

The Emails that are sent form the platform will follow a set format.

For email templates look and feel, this can be configured by following our Support Knowledge article

https://mycouncilservices.freshdesk.com/a/solutions/articles/101000401391?portalId=101000062743

3. URL Masking

URL Masking enables you to customise your MCS Customer Portal and Short URLs with a domain name of your choice. This should ensure that there are no WCAG considerations, or any issues with browser compatibility.  Your authority name and look and feel will be incorporated into your branding and styling.

The process involves the creation of a sub domain e.g. my.council.gov.uk allowing you to continue to work with the existing environment.

1. Your Action: Confirm the domain name you wish to use i.e. my.councilname.gov.uk.

2. MCS Action: We will send you the Certificate Sign-in Request File (CSR) file for this domain.

3. Your action: Using the above CSR file, you will need to purchase the appropriate certificate, generate, and send us the updated certificate.  This needs to be for Apache.

2. MCS Action: our side, we will-

  1. Update the server configuration,
  2. Enable access for port 443,
  3. Configure the required SSL (Secure Sockets Layer) for this URL,
  4. Add the DNS (Domain Name System) zone.

Your action: Finally, you need to enable the ‘A’ .e.g. my.council.gov.uk record on you DNS zone and point to the IP which we confirm to you.

Your action: Once the A Name is in place, the council will need to test payments if enabled on their system.

Your Action: To configure URL for iFrames, the Short URLs need to be pre-fixed as follows:-

           => iFrame Source : https://iweb.itouchvision.com/portal/f?p=customer:category_link:::::CUID,LANG:3C290708A90239016313FE02531401A8CDA0EDF4

           => Change it to : https://my.council.gov.uk/portal/f?p=customer:category_link:::::CUID,LANG:3C290708A90239016313FE02531401A8CDA0EDF4

So simply, change the iFrame URL from iweb.itouchvision.com to my.council.gov.ukas an example.

Please note, the Short URL for a form can be taken from Forms settings within Forms Builder, but the name cannot be updated in these settings.  They will need to be taken and then updated from this point.

Note

 This is a chargeable configuration option.    There is an initial set-up cost followed by an annual charge for the renewal of the appropriate certificates.

4. GDS Portal

Graphical images for the GDS Portal need to be provided.  It is important to note that files need to be as high resolution as possible.

Logo

Please provide home screen header logo. This will be used on all pages of the portal regardless of what device the user is accessing the portal with.

All platforms:   1338 x 338

Background image

The background image will display on the home page of your portal and will be visible to anyone accessing it. We recommend using an image that will allow the text to appear clearly to users to comply with accessibility standards.

Two images are required, one for the web, and one for mobile users.

Background image (web): 1920 x 658

Background image (mobile): 375 x 300

Background image for sub-pages

You have the option of using a specific image for the banner on sub-pages, however a solid colour can also be used instead of this. This image will appear on all sub-pages for example: when submitting forms, when searching for knowledge articles, and when viewing the nearby page.

Again, the mobile and web browser require differing dimensions for this image so two must be provided.

Background image for sub-pages (web): 1920 x 658

Background image for sub-pages (mobile): 375 x 300

Further details on this configuration is available in the document ‘MCS - Branding Guide – Themes and GDS Portal.
